The Railway and Transport Union (EVG) supports its members with a wide range of social benefits. As these offerings expanded, the number of fund applications also rose steadily. Axsos helped the EVG fully digitize the membership verification process, making it possible to process 94% of all verifications automatically today. A project with measurable results: The ROI was achieved in just three months.

Manual Membership Verification at the Limit

As EVG expanded its social benefits, the number of applications increased significantly. This led to a growing workload for case workers. The manual verification of membership for fund applications was particularly time-consuming, as it required the use of two separate applications operated by different companies.

Without automated verification logic, staff members had to manually review each application and switch between systems. This was not only prone to errors but also not scalable. As the number of applications grew, this would have required more staff in the long run without improving the actual quality of service.

The goal: to automate the testing process, reduce processing time, and increase efficiency without compromising the quality of the results.

Rule-based validation logic with dynamic adaptation and a centralized process dashboard

Intelligent automation instead of manual case-by-case review

Axsos implemented a digital review process based on a smart set of rules that takes into account spelling variations and special cases. The solution is flexible enough to be dynamically adapted as new services or application types are added.

The rule set automatically checks each application against defined criteria. It takes into account different spellings and variations that regularly led to errors during manual reviews.

Process Dashboard for Administrators

Using a central process dashboard, administrators can monitor the effectiveness of the review process in real time and optimize it as needed.

Data Exchange via Encrypted Web Services

Communication between the systems involved takes place via encrypted web services, supplemented by logins, encryption, and a firewall to ensure maximum data security.

Central Attribute Database

A central attribute database ensures the automatic synchronization of all relevant auxiliary data between the systems. This completely eliminates the need for redundant data maintenance.

Phased implementation, from the core process to full automation

Designed to be scalable to accommodate a steadily growing number of applications

The digital testing process was implemented in two clearly defined steps. First, the so-called “fair-weather” scenario enabled the automatic processing of 80% of the tests. In a second step, exceptions were integrated into the testing logic. Today, 94% of all tests are processed automatically.

To improve scalability, the core of the application was converted to a queue-based system. Requests are processed in an organized manner, rather than overloading the system during periods of high traffic. This made it possible to handle even significant traffic spikes without any issues, as demonstrated by the integration of an additional fund in October 2021, which increased the annual iterations to 320,000 in 2024.
