APCOA Deutschland GmbH, headquartered at Stuttgart Airport, operates over 230,000 parking spaces at approximately 300 locations in more than 80 cities. The company is known for its modern parking management solutions in city centers, at airports, trade shows, hotels, and hospitals. The controlling team is responsible for a wide range of business-critical reports. To ensure these processes are reliable, scalable, and future-proof, APCOA decided to partner with Axsos.

When Manual Data Processes Hinder Growth

Before partnering with Axsos, all of APCOA’s controlling reports were created entirely in Excel. The consequences were clear: updates took a long time, standardized processes were lacking, and the risk of errors was high.

As the volume of data increased, so did the amount of manual work. Transparency and rapid decision-making were no longer reliably ensured. Strategically important key metrics could not be retrieved in a timely manner. The controlling team lost valuable capacity to repetitive, error-prone routine work.

There was a lack of a centralized, scalable reporting solution that automatically processes data, establishes standardized processes, and reliably supports data-driven decision-making on a day-to-day basis.

Power BI as the Foundation for Modern, Automated Controlling

Data-driven control instead of manual spreadsheet maintenance

Axsos worked with APCOA to develop a customized Power BI solution that gradually and completely replaced the existing Excel reporting system. The focus was not only on the technology, but also on the concrete benefits for the controlling team in their day-to-day work.

Complete Power BI Environment

Axsos implemented a complete Power BI environment and migrated existing reports from Excel to modern, interactive dashboards. The new environment is accessible centrally and scalable for additional reports.

Axsos provided the controlling team with concise, hands-on training. The goal was not only to introduce the technical aspects but also to equip the team with the long-term ability to use and further develop the new environment on their own.

A phased transition without interrupting ongoing processes

The project was consistently designed using an agile approach: direct communication, short iterations, and rapid adjustments to new requirements characterized the collaboration. Axsos supported APCOA with setup, report transformation, and the establishment of a standardized update process.

The transition to Power BI took place in stages: Existing processes remained stable while new dashboards were introduced in parallel. This allowed APCOA to maintain ongoing operations while completing the transition to a more modern reporting environment.

The close coordination between Axsos and the APCOA Controlling team was particularly valuable. Requirements were discussed directly, solutions were implemented quickly, and results were validated immediately. This collaborative approach ensured not only the quality of the new solution but also its acceptance by the team.

Bernd Length

Bernd Länge has been working in the IT industry for over 20 years and advises clients and interested parties on cyber security issues as well as on the development and implementation of information security management and data protection. In this role, he acts as an external data protection and information security officer for clients. It is important to him to take a pragmatic approach and work closely with clients, partners and vendors to ensure that clients' enterprise security is up to date.

Rolf Stephan
